How do I make a SEPA Direct Debit File Enquiry?

The file enquiry option lets you look at any file submitted during the last 13 months.

In the SEPA DD Origination section on the left hand menu, select File enquiry. The menu items displayed are based on privileges assigned to the user.

In the File enquiry screen first select a Creditor ID from the drop-down list.

For files submitted on or after 16th April 2016, use Option 1:

  1. Specify a date range in the File submission date section. Note: The ‘From' date can be no more that 13 months in the past, but restricted to a three month date range.
  2. Select the File status type from the drop down list.
  3. The File enquiry results screen shows a list of files found.
  4. Clicking on the File ID brings up a summary of the file.
  5. If the file has been fully authorised, the File details will show a list of Batches in the file.
  6. Clicking on a Batch ID will bring up details of that Batch, including a list of all collections in the Batch.
  7. If the Batch is Future dated status, and the user has the SEPA DDO Cancel file privilege, then there will be the option to cancel the Batch.
  8. Clicking on a Collection ID will bring up details of that individual collection.
  9. If the Batch is Future dated status, the Collection is Due status, and the user has the SEPA DDO Cancel file privilege, then there will be the option to cancel the Collection.

 

For files submitted before 16th April 2016, use Option 2:

  1. Specify a date range in the File submission date section. Note: The ‘From' date can be no more that 13 months in the past, but restricted to a three month date range.
  2. Select the Authorisation type from the drop down list.
  3. Select Go. This will populate the File status dropdown list.
  4. Select the File status from the drop down list. If you select All under the Pre-authorisation status, files in the awaiting validation status will not appear.
  5. Click Search. The File enquiry search results screen is displayed. Files are listed with most recent first.
  6. Click the required file. The File details screen is displayed. The List Collections button is available for files in the following statuses:
    • Accepted
    • Cancelled
    • Accepted with errors
    • Partially cancelled
    • Reversed
    • Partially reversed
    • Revoked
    • Partially revoked
    • Processed
    • Partially processed

 

  1. Click List collections. The screen will be refreshed showing the transactions within the file.
  2. Click the collection ID required. The collection ID screen is displayed with detailed summary.
